It’s the start of a new travel sports season and you happened to draw the golden ticket of all parent tasks! YEP, you get to plan the travel for out of town tournaments.
It’s complicated! You are trying to manage ten to twenty-some families, keep them all happy with your food choices, hotel pick and cost. It can feel like an uphill battle.
Thankfully there is a solution available to make things a little easier. There are a few companies that specialize in youth sports travel accommodations. They do the work for you, get you the best price available and makes booking a hotel super easy. The best part of it all, is that these providers manage everything at no cost to you or your team.
Let me share a few options with you:
TeamInn is an amazing and easy service to use. One person from your team books an entire block of rooms for the whole team. All online. Then, each individual family logs in to add their room preferences. Everything is managed through an app. The hotel rates are the lowest around. Even better, all preferences are saved for every time the team travels.
Team Runner is a great option for booking your team hotel, at rock-bottom prices. You may find that your team isn’t traveling, but instead hosting a tournament. If that’s the case, Team Runner allows you to keep everything organized, you can easily and rapidly track all of your events, vendors, RFPs and bookings.
Traveling Teams™ is an event hotel management provider of cost-free travel accommodation services for youth sports teams and event directors. You get matched up with a Traveling Teams representative who ensures that your booking process is a seamless and enjoyable experience, regardless of the size of the team or event.
If you are not a fan of booking everything online and would prefer one-on-one customer service, then check out Team Travel Solutions. The will work directly with you to negotiate the contract, communicate all of your specific needs to the hotel property and keep your programs budget in high regard.
Now you can breath that sigh of relief that maybe you didn’t get the hardest job on the team, but instead the easiest.

I can definitely see why you say it’s an uphill battle. I can’t even imagine managing so many travel plans, destinations, and accommodations for so many families. However, I’m sure they are all very grateful for you! When our kids are older I want to teach them how to play sports and hopefully they’ll love it! I think it would be fun; so we’ll see! Thanks for sharing!
So happy I came across your blog! You have tons of useful information for parents whose kids play sports. I will be definitely sharing this with moms on our team. I’ve come across two other websites for booking rooms: hotels4teams.com and bedfinder.com
